archive vs. delete a product — when to use which

they look similar but they're different. archive hides without breaking history; delete removes everything. pick wrong and you can lose past invoice data.

    archive when you might bring it back

    seasonal items, products you're temporarily out of, or things you're unsure about. archived products vanish from the picker but every past invoice that used them still shows the right name and price.

    delete only when the product was a mistake

    typo'd row that nobody ever bought, duplicate, accidental import. delete is permanent — but if the product was never on an invoice, no harm done.

    if it's been used, archive — never delete

    magpie warns you when you try to delete a product that appears on past invoices. the safe choice is always archive: history stays intact, the product disappears from new invoices.

    tip

    to delete a product that's been used, you'd have to delete every invoice that references it first. that's almost always the wrong move — archive instead.
